The Hospital Broadcasting Association are currently seeking volunteers for a variety of roles within the organisation.

Executive Administrator

The role of the Executive Administrator is to facilitate the administration and organisation of monthly Trustee meetings, and to support the Trustees and Executive Leads with administrative duties on an ad hoc basis. Attendance at board meetings is not necessarily required as we hold these on a Saturday and recognise that the applicant may prefer a more flexible approach. As such, minutes may be taken from video recordings.

Specific responsibilities:

  1. To liaise with the Trustees on the submission of relevant reports that may be required.
  2. To request agenda items and compile an agenda with the Chair.
  3. To file and share all board papers one week prior to each meeting.
  4. To take minutes from each board meeting and circulate within one week of receiving them.
  5. To ensure the action register is kept up to date, and where possible, reminders are sent to the relevant paties one week prior to the next meeting.
  6. To ensure meeting links are sent out, and room bookings made where meetings are being held in person.
  7. To assist the Trustees and Executive Leads with administrative duties, as requested, on an occasional basis.

Limits to authority

The postholder may not, without consent of the Trustee Board, enter into any agreement or contract with any other person, organisation or company. The postholder may not order any goods or services outside of a budget approved by the Trustee Board, without the express consent of the Chair and the Treasurer.

Reporting structure

The postholder is directly responsible to the Trustees for the specific areas of responsibility listed above.

Out of pocket expenses

The postholder will be reimbursed for reasonable "out of pocket" expenses incurred in the fulfilment of the requirements of the post.

Support

All support and training necessary to complete the role to the required standard will be provided. Induction, ongoing support and appraisal will be provided by the Volunteer Manager, with whom any concers may be raised. HBA is happy to provide a reference for employment purposes.

Time commitment: 5-6 hours per month (flexibly distributed)

Membership Manager

The role of the Membership Manager is to co-ordinate the association’s membership subscription process. The role provides advice and guidance to associates and volunteers at member stations in respect of renewing subscriptions. In addition the role requires active promotion, with assistance from the Communications Executive, to engage with non-member stations and potential associates to encourage membership of the association. It is expected that the Membership Manager will have good computer literacy and the ability to meet deadlines. Good interpersonal, written and verbal communication skills are required as the post holder represents the association in this frontline role.



Specific Responsibilities

  1. To maintain members records using the Association’s designated database and in accordance with the Association’s Data Protection policy
  2. To prepare, dispatch and follow up all membership renewals at the appropriate time(s)
  3. To provide details of local stations to members of the public interested in volunteering at a hospital broadcasting service
  4. To promote membership of the Association to non-member stations and potential associates
  5. To work closely with the Treasurer regarding the collection of subscriptions received
  6. To account for, and deposit, subscription cheques received from associate and member stations

Training Manager

The role of the Training Manager is to handle the learning and technical development of the association’s membership.

Trainers equip volunteers with the knowledge, practical skills and motivation to carry out related tasks. The Training Manager can either deliver the training or arrange for internal or a third party to HBA trainer to do it.

Training and development officers from the team help with the ongoing, long-term improvement of the memberships' skills, enabling them to fulfil their potential within hospital broadcastings objectives. The Training Manager is required to be strategic rather than reactive, assessing the skills and knowledge within the organisation and determining what training is needed to grow and retain these skills. Reporting to the Member Support Executive, the Training Manager is responsible for ensuring the delivery of the following activities:

  1. identifying training and development needs within the organisation through analysis and regular consultation with Executive and membership;
  2. develop and maintaining training and technical support initiatives based on the needs of the organisation and its members;
  3. working in a team produce programmes that are satisfactory to all relevant parties in an organisation, such as operational managers, members and Trustees at board level;
  4. consideration of the costs of planned programmes and keeping within budgets as assessing the return on investment of any training or development programme is important;
  5. developing effective induction programmes;
  6. potentially producing training materials for in-house courses;
  7. managing the delivery of training and development programmes and devising a training strategy for the organisation;
  8. monitoring and reviewing the progress of trainees through questionnaires and discussions with managers;
  9. ensuring that statutory training requirements are met;
  10. evaluating training and development programmes;
  11. amending and revising programmes as necessary, in order to adapt to changes occurring in the environment;
  12. helping Executive and membership solve specific training problems, either on a one-to-one basis or in groups;
  13. Developing, facilitating and maintaining external relationships with national and international partners
  14. keeping up to date with developments in training by reading relevant journals, going to meetings and attending relevant courses;
  15. having an understanding of e-learning techniques, and where relevant, being involved in the creation and/or delivery of e-learning packages;
  16. researching new technologies and methodologies in workplace learning and presenting this research.

Experience:

The following, whilst not essential, would be beneficial:

  1. Project management
  2. Demonstrable experience of delivering to organisational goals
  3. Experience of development and delivery of training and advisory in similar domain
  4. Experience of service delivery and development
  5. Experience of working in partnership with other organisations including governments, NGOs and other service providers
  6. Team management and other resource management experience

Specialist Advisor

HBA’s Specialist Advisors provide advice and guidance to volunteers at member stations, within the agreed specialist area of knowledge.

They do this by responding to enquiries via the website support forum, email and telephone, developing/maintaining a knowledge base of FAQs on the website, writing guidance documents, and moderating the support forum, pointing enquirers at the knowledgebase where appropriate, and updating the knowledge base to include answers to appropriate questions that are asked in the forum, or by phone/email.

We currently have volunteer vacancies covering, Fundraising, Licencing and Patient Entertainment System Providers. This role will require the Specialist Advisor to; assist in identifying appropriate topics for face-to-face or distance learning opportunities and, if possible, to help to develop or even provide this training material.

In addition, the Specialist Advisor will liaise with the appropriate stakeholder relationship managers to ensure that members’ concerns are conveyed to external stakeholders, and information about/from stakeholders is conveyed to members, in answers to direct questions and/or via FAQs / longer-form guidance.

The Specialist Advisor is responsible for:

  • Answering email/telephone enquiries from volunteers at member stations, within the agreed specialist area of knowledge. Replies are to be sent within 72 hours or enquiries being made; if this needs to be a holding reply, it should state by when the full answer will be provided, and that answer should be provided by that self-imposed deadline, or an explanation and updated time provided.
  • Developing and maintaining a website-based knowledgebase of frequently-asked questions, within the agreed specialist area of knowledge.
  • Contributing and drafting guidance documents on specific topics, within the agreed specialist area of knowledge, where the topic requires longer-form advice to be provided.
  • Moderating agreed areas within the peer-to-peer support forum on the website.
  • Working with the Training Manager to identify topics, from within the agreed specialist area of knowledge, that could be developed into training packages – either distance-learning or face-to-face.

Stakeholder Relationship Manager

Reporting to the Stakeholder Relationships Executive, the role of a National Stakeholder Relationship Manager takes responsibility for the HBA’s relationships with key stakeholders outside of the hospital broadcasting community, within each of the four home nations. This role will require the National Stakeholder Relationship Manager to develop and lead on the strategic relationships with the Associations’ key stakeholders. The National Stakeholder Relationship Manager will represent the Association and therefore volunteers will be expected to have good interpersonal and IT skills and be able to work within a small team of fellow volunteers.

The National Stakeholder Relationship Manager is responsible for:

  • Taking the lead for managing HBA’s relationships with stakeholders outside of the hospital broadcasting community, which depending on role, will include:
  • Government and parliamentarians
  • The Scottish Parliament and the Welsh and Northern Ireland Assemblies, and the devolved administrations
  • Charity regulators
  • Ofcom
  • The NHS (in all four home nations)
  • Intellectual Property Rights owners and their representative bodies, including PRS for Music, PPL, IRN, the BBC
  • The radio industry, including BBC and commercial radio, the Community Media Association, the Radio Academy
  • Bedside entertainment systems providers
  • Providing reports to the Stakeholder Relationships Executive as requested.

The Stakeholder Relationship Manager will be working with:

  • the other Stakeholder Relationship Managers, to ensure that consistent messages are being delivered to all external stakeholders;
  • the Specialist Advisors, to ensure that members concerns are understood, considered, and appropriately communicated to stakeholders;
  • Specialist Advisors and members of the communications team, to ensure that information from and about stakeholders and the services they provide is made available to members through appropriate channels; and
  • with the Campaigns team to ensure that the relationship with any stakeholder is not inadvertently compromised as a result of a public campaign by the HBA.

Working at all times towards the strategic aims and annual targets set by the Trustees.
